Recording, transcription and AI

1. Purpose
We organize the session conversation to help a human coach write a report. AI does not autonomously assess players or deliver unchecked outputs.
2. Recording and transcription
Zoom records meeting audio and produces a transcript. We do not import meeting video into the app. If Zoom creates video files, they are queued for deletion. Operations and coaches check meeting settings in advance to avoid temporary video generation. The coach also announces recording during the meeting.
3. Text sent to external AI
We send the transcript, goals and coach notes to the OpenAI API after removing registered names and detected email addresses, phone numbers and similar identifiers. We do not send video or audio files to OpenAI. Context or missed details can still identify someone. Please avoid unnecessary addresses, school names or contact details in the conversation.
4. Providers, regions and retention
Zoom handles meetings and transcription, OpenAI creates AI drafts, and Supabase and other providers store app data. Processing may occur in the United States or other countries. We disable response storage in AI requests, but this does not guarantee that providers retain no security logs. See the Privacy Policy for retention and rights requests. Contact us before consenting if you need more information on locations or safeguards.
5. Declining or withdrawing
You can apply or contact us without selecting consent. Operations will arrange an approach without recording or AI. Withdraw on the case page at any time to stop new transcription, AI generation and draft application; the coach and operations are notified. Tell the coach directly to stop an ongoing recording. Withdrawal does not automatically undo lawful prior processing or delivered reports. You may separately request deletion of stored information.
6. Minors and additional participants
A guardian must consent for players under 18, explain the processing, check the player’s wishes and attend the session. The coach must also explain recording to additional participants and wait for consent before recording.
